Collision Repair File Checklist

A collision repair intake checklist should establish who owns the request, which vehicle needs work and what the workshop has agreed to repair. Accurate intake gives later purchases, costs and payments a clear file to belong to.

Identify the customer and vehicle

Confirm the customer's name and contact details, then check the vehicle information. Clarify who can approve changes and who is expected to pay. These can be different people, so avoid treating the person bringing the vehicle as the automatic decision maker or payer.

Describe the requested work precisely

List the affected panels and the body or paint work under discussion. Distinguish the initial request from additional damage found during inspection. If a price or part is still uncertain, keep that uncertainty clear in the agreement instead of presenting an estimate as a final commitment.

Prepare the file for financial review

Record the agreed amount when it is confirmed and connect any deposit to the repair. As work proceeds, associate purchases and costs with the same file. Before delivery, compare the completed scope with the agreement and check which payments have actually been received.

Example: visible and newly discovered damage

A vehicle arrives for a rear bumper repair. Inspection also reveals damage behind it. Explain the additional work to the approving customer and update the agreement before including those costs. The file should make the initial request and the later addition understandable at a glance.

Review checklist

  • Confirm the customer and vehicle identity.
  • Identify the person approving changes.
  • Clarify who will pay for the repair.
  • Write the scope and unresolved questions.
  • Connect the agreed amount and deposit to the file.
