How to Track Collision Repair Status

Review collision repair progress by comparing the agreed work with what has been completed and what still needs a decision, purchase or payment. Keep the operational review connected to the repair file so financial questions have the same context as the work.

Separate completed work from open questions

Review each agreed task and identify what remains. A repair can wait because work is unfinished, a part is needed or an additional task requires customer agreement. Describe the actual reason clearly; a broad label such as 'in progress' does not explain what should happen next.

Check changes against costs and purchases

When the scope changes, review the associated purchases and costs as well as the agreed amount. Confirm that an item belongs to this vehicle before including it in the file. This links the explanation of progress to the money spent, rather than leaving financial review until delivery.

Review delivery and collection separately

Before delivery, check the completed scope with the customer and review payments against the agreement. After delivery, any unpaid balance still needs attention. Use repair files and reports to distinguish a finished repair from a settled account, especially when several vehicles belong to the same customer.

Example: paint is finished, the file remains open

The body and paint work is complete, but an agreed replacement part has not arrived. Record that remaining item clearly when discussing progress. If the customer later receives the vehicle with an unpaid amount, review that receivable separately from the completed repair work.

Review checklist

  • Compare completed work with the agreed scope.
  • Describe each remaining task or decision.
  • Confirm that purchases belong to this vehicle.
  • Review agreed changes and their costs.
  • Check delivery readiness and unpaid amounts separately.
